Cardiff-Stuttgart Association – Duties of the Secretary

An appeal to members

At the Cardiff-Stuttgart Association Annual General Meeting it was heartening to see that a number of members were keen to take on committee roles, but unfortunately nobody could be persuaded to come forward to take on the role of Secretary. I am sure that you will all realise that without a Secretary it will be impossible to form a committee for next year.

It was therefore agreed that we would publish a list of the Secretary’s duties in the hope that at least one of our members would be prepared to undertake this role.

As you can see, the duties are not particularly onerous when compared with the workloads of secretaries of many other societies, but they are essential.

We appreciate that our members lead busy lives, but would appeal to you all to consider whether you could take on the role of Secretary – or, at the very least, contact Rhian, the outgoing Secretary to discuss how the role might be filled.

I’m sure that you would all wish to join me in thanking Rhian for the work she has done for the Association.

Duties of Cardiff-Stuttgart Association Secretary

  1. Arranging meetings of Committee members several times a year to agree the Cardiff-Stuttgart Association’s programme of events.
  2. Producing minutes from those meetings and taking action in conjunction with other Committee members.
  3. Booking a room at Quaker Meeting House for Cardiff-Stuttgart Association meetings. (Note that this has already been done for 2024/25.)
  4. Sending out notices of the Cardiff-Stuttgart Association’s meetings to members and friends two weeks beforehand, and a reminder a few days before.
  5. Keeping the Council’s European Officer, Beverley Watson, informed of the Cardiff-Stuttgart Association’s activities by including her in the distribution list for Cardiff-Stuttgart Association meetings. She can be invited to any English-language talks or musical event.
  6. Replying to any emails sent to the Cardiff-Stuttgart Association, mainly in English. Responding to a few German-language emails per year in German. Assistance with composition available from the Cardiff-Stuttgart Association’s fluent German speakers.
  7. Forwarding emails to members and friends from the German Church, with the Gemeindebrief; from the Bath German Society and the Brunswick Literary Circle.
  8. Making arrangements for the Weihnachtsfeier and Summer Ausflug.
  9. Forwarding any information of interest to members and friends e.g. German-language films.
  10. Buying and bringing refreshments, in conjunction with other Committee members, to the Cardiff-Stuttgart Association meetings. Clearing and washing-up as a team post-meetings.

Please contact Rhian by email at info@cardiff-stuttgart.org if you are interested in helping or if you have any ideas or suggestions that you would like to make.
